An introduction to 'My Post'

This guide will help you navigate 'My Post' so you can manage your post and track your letters with ease.

It gives you a clear, live view of every item sent through your Postboxes and tells you exactly where they are in the delivery process.

1. Post items:

To see your recent activity, go to My post > Post items.

This page lists every letter you have sent. You can see who sent the item, when it was submitted, and where it is going. You can also preview any item by clicking the green eye icon.


  • Submission ID - The unique reference for a batch of letters.

  • URN -the Unique Reference Number for an individual letter. Keep this handy if you need to ask our support team a question about a specific item.
  • View - by clicking on the green icon, you'll be able to see the item that was sent
  • Sender - the user who sent the item
  • Submitted - the exact time the item was submitted
  • Status - how far your letter has progressed through our system
  • Recipient - shows who the recipient of the item is
  • Address - shows the address of the recipient
  • Destination - the postcode of the item
  • Postage - shows whether the item is being sent via 1st Class, 2nd Class or Priority Postage
  • Ink - shows whether the item is printed in colour or black ink
  • Printed - shows whether the item is printed single or double-sided
  • Attachments - shows what attachment was sent with the item (if there is one)
  • Reference - the filename that was uploaded
  • Cost - the price of the item (excluding VAT)
  • Estimated delivery - when it's most probable for your item to be posted
  • ClearSend Certified  - for Enterprise plan accounts, this confirms your digital proof of postage.
  • Shared - shows the users this has been shared with

You can toggle the status you want to view by clicking on the drop-down menu under the Status header. Here is a list of the statuses :

Post Tray: Shows all items that are currently in the Post Tray. These items will remain here for 30 minutes or until the daily cut-off time, whichever comes first.

Post Room: Shows all items that are in the process of being printed, enveloped, and prepared for posting. If an item is submitted after the cut-off time, it will remain in the Post Room until the following day.

Post Van: Shows all items that have been collected by the Post Van and are currently in transit through the UK delivery network.

Postman: Shows all items that are estimated to be out for delivery on the same day.

Posted: Shows all items that have already been posted.

Failed: Shows all items that have failed, along with the reason for their failure.

Processing: Shows items that are still uploading

You can also filter by any of the other parameters.

2. Submissions

While Post items shows individual letters, the Submissions tab groups them by the batch they were sent in. This is useful if you upload bulk mail and want to see the collective status of a specific upload. It also shows the Submission type, which tells you what kind of Postbox or Teambox was used.

3. Archived

To keep your dashboard tidy, items move to the Archived section after a set period. The length of time they stay in your active list depends on your specific account settings.

4. Email

If you use Postworks to send digital correspondence, you can find the history and status of those items in the Email section.
